Operational workflows incorporated co-use of Bistrack for inventory operations, with Microsoft Dynamics GP serving as the ERP Financial ledger for inventory valuation and audit reconciliation. Dynamics GP was used to process vendor invoices for 50 plus suppliers, reconcile multiple bank statements and manage cash balances in excess of CAD 10 million, and to record transactions that fed periodic statements and budget forecasts.
Governance and process changes included centralized oversight of branch accounting, cross-functional collaboration with auditors, the controller and senior financial analysts to drive timely annual audit completion, and standardized accounts payable and vendor communication procedures. The implementation included operational coordination with the benefits provider IA Financial to ensure plans were managed accurately and issues were resolved promptly, reflecting an integration point between ADP Workforce Now benefits records and external vendor administration. Operational coverage was primarily the HR department and all Canadian employees, with HR personnel maintaining monthly billing and financial reconciliation for benefits. ADP Workforce Now served as the system of record for employee records and benefits data in this context.
Governance and process changes centered on maintaining open communication between HR, hiring managers, and the benefits vendor, and assigning HR staff as payroll backup to sustain continuity for payroll and bonus administration.
