In 2019 University of Sheffield deployed SAP ERP ECC 6.0 as an ERP Financial platform to consolidate core finance and administrative workflows. The SAP ERP ECC 6.0 implementation was positioned to support finance, management accounting, commercial services, subsidiary company accounting, tax, payroll and pension administration, procurement and insurance functions across the institution.
The implementation configured core SAP financial modules including SAP FI/CO and SAP Payroll HR components, alongside spend management and debtor record functionality. Configuration work encompassed management accounting ledgers, payroll interfaces, pension administration touchpoints and procurement transaction flows consistent with an ERP Financial deployment.
Integrations were explicitly mapped to existing campus systems and records stores, including interfaces with Capita, USS and USPS for payroll and pension data, CIS and StarRez for administrative records, SAP SRM, myPurchase and Cogent for procurement, and Cognos TM1 for planning and financial reporting. The university also retained links to Fishare and X Drive records, Intend SAP data feeds and BarclayCard spend management feeds, with SAP Debtor records maintained inside the SAP ERP ECC 6.0 landscape.
Operational coverage extended across the Finance department, Commercial Services, subsidiary companies, Payroll and Pension administration, Procurement, Tax and Insurance teams, with the system used to centralize transactional processing and financial recordkeeping. Rollout and usage focused on university administrative units rather than external sites.
Governance activities included mapping electronic and hard copy records into the university retention schedule and aligning SAP ERP ECC 6.0 recordkeeping with existing archival practices. The programme documented retention and record flows to ensure payroll, pension and procurement records such as hard copy files and X Drive holdings were accounted for within the ERP Financial record lifecycle.

In 2013, University of Sheffield implemented SAP HCM Leave Management as a dedicated Absence and Leave Management solution to bring leave recording into its SAP HCM footprint. The implementation was scoped to support core Human resources functions including leave and absence administration, workforce planning, occupational health touchpoints, payroll and pension administration, and HR recordkeeping across the university and its subsidiary companies.
SAP HCM Leave Management was configured to deliver standard absence and leave capabilities such as entitlement calculations, absence recording, approval workflows, and employee self-service for leave requests. The deployment leveraged SAP ESS / MSS myJob/myTeam and SAP Fiori mySAPMobile for employee and manager interactions, and aligned leave entitlements with HR record structures captured in SAP Core HR uBase.
The leave management instance was integrated into the broader campus IT estate, interfacing with SAP Payroll and HR records, SAP erecruitment e-Recruitmen, SAP SRM myPurchase and Cogent for procurement-linked records, and reporting systems including Cognos TM1. Ancillary data exchanges and reference records were maintained with Capita, USS, USPS, CIS, StarRez, Fishare X Drive records, Intend, BarclayCard Spend Management and SAP Debtor records where HR and commercial processes intersected.
Governance and operational control were positioned within HR and Payroll functions, with process alignment across pre-employment, contracts, performance and capability workflows to ensure consistent absence handling. The implementation preserved existing HR record formats, including HR Record plus hard copy files, while centralizing leave and absence data in SAP HCM Leave Management to support downstream payroll and administrative processes.

The project executed large scale legacy uploads, ingesting hundreds of thousands of samples into CloudLIMS and enabling batch processing and automated inventory reconciliation to improve operational throughput.
Operational scope covered the Sheffield Biorepository and broader UK site laboratory operations, impacting sample management, inventory control and audit workflows. Governance work focused on standardizing accessioning and audit processes to improve traceability, and the implementation delivered reduced sample turnaround and auditing effort as reported.
