In 2013, Torys implemented Emburse Enterprise for Expense Management to centralize expense controls and accounts payable workflows across the firm. The deployment targeted expense processing and authorization for more than 200 members of Torys LLP, with a primary focus on vendor payments and employee expense compliance.
The implementation configured expense capture and approval workflows within Emburse Enterprise, and included modules and capabilities for receipt validation, policy-based authorization, AP sub-ledger reconciliation, and general ledger account reconciliations. Payment handling capabilities were mapped to support cheque, EFT, ACH, wire, and draft flows in the firm process model.
Operationally the Emburse Enterprise deployment interfaced with existing Chrome River and Elite software that had been used to process and authorize expenditures, aligning expense submission and payment triggers between systems. The scope of the implementation covered accounting and accounts payable functions that reconciled employee receipts against company transactions and controlled AP to GL reconciliations for the firm.
Governance and process changes accompanied the technical implementation, with daily process instructions documented and integrated into a formal staff manual. A virtualized document approach was created, including an Excel-based repository that enabled employees to access pertinent documentation and internal information, and the team documented standard operating procedures for routine reconciliations and approvals.
Outcomes explicitly captured in the implementation narrative include ensured expense accuracy and policy compliance, completed AP sub-ledger to control account reconciliations, and reduced office paper files with a resulting time savings from virtualized documentation. Emburse Enterprise served as the Expense Management platform to operationalize expense control and accounts payable discipline at Torys.
