In 2007, Ubisoft implemented Oracle E-Business Suite as its ERP Financial platform to centralize finance, procurement, project costing, human resources and expense processes. The Oracle E-Business Suite deployment served as Ubisoft's ERP Financial system supporting core financial operations, procurement workflows and project cost to billing integration across the organization.
Functional modules implemented included Financials, Purchasing, iProcurement, OTL, Project Costing & Billing, iExpense and HRMS, reflecting a full-suite configuration of Oracle E-Business Suite. Configuration covered accounts payable, accounts receivable, general ledger, procurement catalog management, time and labor capture and project costing integration to billing. Standard ERP Financial workflows such as requisition to purchase order, expense reporting and project cost collection were configured and supported.
Integrations were implemented with a Desjardins Payroll system, an inventory system and an asset management system, enabling payroll, inventory and fixed asset data exchange with Oracle E-Business Suite. The technical deployment employed a tiered application and database architecture with DBAs and programmer-analysts maintaining the Oracle stack and interfacing middleware where required. Operational coverage included finance, procurement, HR and project accounting functions within Ubisoft's corporate operations.
A dedicated team composed of a functional analyst, a programmer-analyst and a DBA managed implementation and ongoing operations, and they were responsible to supervise, evaluate, train and coach employees under their responsibility. The team planned and allocated tasks, monitored products and projects to meet customer expectations in communication, functionality and budget, and followed up on good practices. They promoted the functionality of Oracle E-Business Suite to other departments and guaranteed the ROI of each tool throughout its lifecycle.

Configuration work emphasized automated workflows for trip authorization and multi-level approvals, mobile receipt capture to accelerate expense submission, and rule-based policy controls to ensure compliance with corporate travel guidelines.
SAP Concur Travel was integrated into Ubisoft's financial technology landscape, interfacing with the company ERP PeopleSoft for general ledger posting and expense accounting, and coexisting with invoice dematerialization via Basware and bank reconciliation processes in Sage. Integration efforts concentrated on posting travel liabilities and reimbursable expenses into record to report and purchase to pay workflows, and on maintaining consistent master data for suppliers and corporate card feeds.
The rollout was governed by Ubisoft's central IT roadmap organization, which manages a team of 30 plus project managers, business analysts and developers across four countries and engages external consultants for specialist expertise and peak activity.
