Operational responsibilities tied to the Coupa Invoice deployment included recruit and onboarding coordination for those locations.
Coupa Invoice was used for vendor invoice submission and accounts payable workflow orchestration, with staff explicitly instructed to submit vendor invoices via COUPA. Typical AP Automation capabilities were configured, including invoice capture, workflow routing, validation steps, and exception handling to manage invoice lifecycles and approvals. The implementation emphasized operational capabilities that aligned with accounts payable processing and invoice governance.
The rollout operated alongside HR and talent management activities, with management teams receiving assistance in understanding Workday, and Cornerstone facilitators informed of reporting new hires. Process governance required establishing relationships with local management to ensure transfers, promotions, and terminations were processed correctly and communicated to AP stakeholders. The program identified a change agent role for the North Atlantic District to coordinate local adoption and operational alignment.
Governance workflows centered on vendor invoice submission controls and on ensuring onboarding and personnel status changes were communicated to AP and HR teams. The implementation was positioned inside HR and frontline people operations to centralize requests for leave of absence and to formalize absence event tracking across operational sites.
Workday Absence Management was configured to manage standard absence workflows, including employee-initiated leave requests, manager approval routing, absence event types and entitlement tracking, and case-style leave lifecycle management. The deployment leveraged the broader Workday human capital management tenant to maintain consistent person records and eligibility rules, and to provide worker self-service for submitting and monitoring absence requests.
Operational ownership rested with HR, training supervisors and payroll coordination functions, with documented approval roles and supervisor training for on-site teams such as the Hialeah division. The implementation supported related HR activities observed in-site, including onboarding, benefits enrollment guidance and the reconciliation of time entries ahead of weekly payroll batching, aligning absence recording with existing HR and payroll processes.

IBM Maximo was configured to support core EAM workflows including preventive maintenance scheduling, work order management, inventory control, and parts purchasing. The implementation included customization for data entry and retrieval by maintenance technicians, automation of internal reporting to detect and prevent problems, and procedures for issuing work authorizations and paying contractor invoices within the UPS environment.
The IBM Maximo deployment was integrated with COUPA for requisition and purchasing workflows, enabling purchasing and invoice processing to flow between the EAM and procurement systems. Operational coverage included break fix support, vendor coordination for preventative and corrective maintenance, and support for end users and field technicians who troubleshoot software and hardware on automated sorting equipment.
Governance changes accompanied the rollout, with UPS staff managing preventive maintenance scheduling processes, union labor dispatch, technical repair delegation, and service level agreement adherence for Saturday shift and across operations. Operational procedures and standards were created to ensure compliance with state and federal environmental and damaged hazardous material waste programs, and contingency plans and automated reporting were executed to help maintain quality up time so Operations could meet or exceed the Department Operations Plan.
