In 2019 University Hospital implemented Epic ASAP as part of its Clinical Trial Management deployment within the hospital's Epic electronic medical record environment. Epic is the official electronic medical record used at University Hospital, Newark, New Jersey, and the implementation targeted both inpatient and outpatient care settings.
The deployment included multiple Epic application modules commissioned concurrently, notably Ambulatory which was 95% complete, ASAP for emergency department workflows, OpTime for operating room scheduling and perioperative documentation, CPOM for computerized provider order management, ClinDoc for clinical documentation, Stork restricted to OB/GYN, Radiant for radiology, Beaker for the clinical laboratory, Kaleidoscope for ophthalmology, Phoenix for transplant coordination, and Beacon for oncology. Epic ASAP was configured to operate as the ED front end and to interoperate with CPOM for orders and ClinDoc for documentation to maintain consistent clinical workflows across the Epic suite.
Operational governance mandated that all providers complete role and specialty specific Epic online and in-class training prior to access being granted to any clinical system, and this gating was applied to Epic ASAP access. The rollout covered emergency department operations and extended to inpatient and outpatient units, impacting clinical functions in the ED, operating rooms, radiology, laboratory, oncology, transplant, ophthalmology, and OB/GYN services.
Configuration and governance emphasized module level access controls and specialty aligned training to standardize order entry, documentation, and ED clinical data capture. Within the Clinical Trial Management context Epic ASAP contributed ED documentation and data capture workflows that align with hospital wide order and charting processes, supporting consistent clinical recordkeeping across impacted departments.
