Sage Legacy Sage 500 ERP (formerly MAS 500) ERP Financial ERP n/a 2018 2018
In 2018, University of Houston implemented Sage 500 ERP (formerly MAS 500) to serve as the Houston Public Media Foundation’s foundation accounting system under the ERP Financial category. The deployment focused on core financial functions including vendor onboarding, accounts payable, accounts receivable, cash management, and general accounting workflows for HPM. Sage 500 ERP was configured with a vendor master to support submission and validation of vendor documents and to record daily cash and check deposits for incoming donations. Accounts Payable capabilities were implemented to support invoice matching to purchase orders, processing of payment vouchers, and printing of manual checks to pay vendors for services provided to Houston Public Media Foundation. Accounts Receivable and cash management configurations capture daily deposits, maintain reconciling deposit records, and record donor contributions for accurate daily booking. The implementation interoperates with PeopleSoft Finance, with purchase requisitions created and submitted in PeopleSoft Finance and payment vouchers processed in PeopleSoft Finance, while Sage 500 ERP is used to book daily transactions into HPM’s Foundation Accounting SAGE 500 ERP platform for month closings. Reconciliations and journal exchanges align deposit records and accounting entries between PeopleSoft Finance workflows and Sage 500 ERP to preserve accounting continuity. Governance and workflow changes include contract review controls to ensure invoices post to the correct purchase orders, a maintained database of daily transactions to assist Accountants during hard reconciliations, and processing rules for journals covering daily deposits, monthly account transfers, and ACH submissions. Functional responsibilities are defined across Accounts Payable, Accounts Receivable and General Accounting, and month-end booking and reconciliation controls are centralized in Sage 500 ERP.
