In 2019, University in Victoria implemented Emburse Enterprise as its Expense Management solution, deploying the Chrome River Expense Management System across QA and Production environments to support Accounting Services. The engagement centered on establishing a controlled QA to production path while supporting a pilot cohort and operational adoption in Accounting Services and cross functional business teams.
Project delivery supported two Project Managers in Accounting Services who developed a test plan and executed more than 150 testing scenarios in the Quality Assurance environment, capturing defects and reporting functional issues to improve end user experience. Technical administration work included making profile and access changes for more than 70 pilot users in both Quality Assurance and Production environments, reflecting focused user provisioning and role configuration efforts.
Process and documentation work produced five process maps created in MS Visio to segment cross functional tasks and clarify integrated workflows, and training materials were documented and distributed to business teams, new users and clients. Business process documentation was used to codify operational procedures and support onboarding during the pilot and rollout phases.
Reporting and data consolidation was structured with a weekly distribution cadence and new ad hoc reporting requirements were implemented to consolidate expense and activity data for business team analysis. Implementation activities therefore emphasized QA testing, technical user administration, process mapping, training documentation and reporting configuration within Emburse Enterprise Expense Management, aligned to Accounting Services operational needs.
