In 2018 Vent-A-Hood implemented ExponentHR as its Core HR system at the Richardson, Texas site. The deployment centralized HR, payroll and benefits administration to support the HR Manager, Payroll & Benefits personnel, and the Accounting Assistant role described in internal operations.
ExponentHR was configured to manage personnel records and onboarding workflows, including background checks, I9 documentation, job description maintenance, new hire orientation tracking and follow up. The system hosted timekeeping and payroll processing capabilities, covering weekly payroll runs, timesheet corrections, payroll adjustments, deduction processing and payroll-related reporting.
The ExponentHR implementation included benefits administration modules for enrollments, changes and terminations, open enrollment organization, 401K contribution and employer match tracking, HSA and flexible spending account updates, COBRA administration and leave management for FMLA and short and long term disability cases. Census and HR/payroll reporting functions were maintained in ExponentHR to support benefit billing reconciliation and year end auditor schedules.
Operationally ExponentHR functioned alongside the companys NAV ERP system which handled day to day AP and AR processing performed by the Accounting Assistant. Payroll and benefit related invoices were reconciled against ExponentHR payroll records and maintained payroll spreadsheets, while invoice entry, vendor payments, deposits and aging reports were processed in NAV and banking portals.
Governance and process controls implemented in ExponentHR included personnel file retention, mandatory workplace poster tracking, affirmative action compliance reporting and documented payroll procedures to ensure accurate weekly processing. The configuration consolidated Core HR records and centralized HR, payroll and benefits administration for Vent-A-Hood in Richardson, TX.
