The implementation emphasized invoice capture and document imaging workflows, with scanned invoices routed into P-vault within Sage Paperless Construction and indexed for retrieval. Configuration included document classification and metadata capture to support accounts payable review and project administration, and the AP Automation workflows were configured to enforce routing rules and approval sequencing consistent with construction project billing cycles.
Operationally the mailroom and administrative staff scanned and organized incoming mail, packages, and vendor invoices, then ingested those records into Sage Paperless Construction for distribution to AP and project teams. The system was positioned as the primary electronic filing system for corporate office project support functions, consolidating invoice records and project documents that previously existed in paper form.
Governance and process changes centered on role based access controls, standardized indexing and retention practices, and established upload and routing responsibilities for administrative and project support staff. The rollout focused on embedding scanning and routing into day to day office operations, formalizing who stamps, scans, indexes and routes invoices into Sage Paperless Construction to maintain consistent AP Automation practices.

The implementation also embedded structured review and reconciliation workflows for GMP billings to internal cost records, monthly cost report validation, pre-approval of subcontractor billings, and updating the Job Cost Budget to keep project financials synchronized with payroll and billing activities.
Integrations were implemented to import and export data between LCPtracker Pro and other systems used by WCS Construction, specifically Sage, Paperless, and Textura, to enable job cost reconciliation and to persist scanned copies of field purchase orders and vendor invoices. These data exchanges supported the flow of certified payroll and billing information into financial and document management systems, reducing manual rekeying between payroll and accounting workflows.
Governance was operationalized through clear responsibilities for the project accountant role, which included reviewing monthly cost reports for accuracy, assisting project management staff with monthly project financials, supporting project compliance, cost certifications and audits, and preparing close-out documentation such as record drawings, O and M manuals, and warranties. The rollout emphasized process controls for maintaining project specific files, quality control plans, and scanned document retention to ensure auditable payroll and subcontractor payment records within the Payroll-focused LCPtracker Pro environment.
