In 2020, Western Michigan University implemented Oracle Peoplesoft Benefits Administration in the Benefits Administration category to support Human Resources and Payroll business functions. The implementation centered on PeopleSoft 9.2 New Navigation for Employee Self-Service, and included PeopleSoft Workflow, Worklist, and Reporting Tools which were scheduled to be available Oct. 23.
The deployment delivered Employee Self-Service enhancements using fluid tiles, with visible Payroll, Personal Details, and Benefits tiles to simplify access to benefits and payroll workflows. PeopleSoft Workflow and Worklist capabilities were retained via the traditional NavBar navigation, and Reporting Tools were part of the upgrade scope for HR reporting access.
Operational rollout and cutover details were governed with firm deadlines communicated to campus administrators. Pay Period Y16 HR forms cutoff was revised to Oct. 12, PSHR Electronic Workflow Appointment and Incidental Pay forms required authorization by Friday Oct. 13, and the PeopleSoft database was scheduled to be taken down for the upgrade on Wednesday Oct. 18 at 5 p.m. Name changes required completed documentation to Human Resources by Tuesday Oct. 17 via in person delivery to room 1300 Seibert Administration building, legible fax to 269 387 3441, or email to hr-hris@wmich.edu.
The upgrade sequence specified transactional controls to limit data loss and manual work during system downtime. Human Resources committed to entering all forms that were at an authorized status as of Oct. 13 prior to the Oct. 18 outage, canceled forms could be re-submitted beginning Oct. 23, and requests for temporary faculty and staff transaction forms needed email submission by Oct. 18 at 10 a.m. Reporting Tools were unavailable from Oct. 18 at 5 p.m. through Oct. 23, FMLA time due the week of Oct. 15 required submission by noon Oct. 18 or a correction form would be needed, Form I-9 processing continued manually during the upgrade, and Student Employee Online Transaction forms remained available because they operate on a different system. Risks called out in the notices included cancelled or delayed transaction processing for forms not authorized by the stated deadlines and potential delays for any requests submitted after Oct. 18.
