The implementation concentrated on core modules, specifically accounts payable, accounts receivable and the general ledger, with Oracle NetSuite OneWorld configured for consolidated reporting across Westhaven’s complex corporate structure of nine entities and nested business units. OneWorld’s multi-entity reporting and elimination of intercompany transactions were used to simplify month-end close and enable drill-down analysis, addressing prior difficulties extracting and validating financial data.
Operational integrations and rollout planning are centered on removing manual uploads and reducing paper-based approvals, with senior managers now authorising invoices online and finance exporting reports into cloud spreadsheets. Westhaven has identified explicit integration targets for the future, these include the customer management system CTARS, the NDIS billing portal Proda, payroll on Ready Pay HR3, and Google Workspace, with plans to integrate payroll and streamline data flows rather than maintain file-based uploads.
Governance and process changes accompanied the technical rollout, led by the CFO who instituted a trust but validate model where the finance team operates independently during the month and leadership performs post-close scrutiny. Outcomes stated by Westhaven include faster, more detailed reporting, a reduction in month-end close from seven days to five days, elimination of considerable paper handling for approvals and a faster accounts receivable cycle, with ongoing plans to broaden manager access to dashboards and pursue further integrations.

Between 2011 and 2019 a dedicated HR Assistant served as system administrator for ReadyTech HR3 and related workforce systems, providing high level administration support to the HR department and day to day HR generalist functions.
ReadyTech HR3 was operated as the central payroll and employee record system, supporting configuration of detailed electronic employee records, payroll processing workflows, onboarding and induction workflows, and HR database maintenance. The implementation included use of ReadyTech HR3 for backup payroll processing and the development of an electronic HR filing system, aligning the Core HR application with routine HR activities such as recruitment coordination, training scheduling, and workers compensation case management.
The ReadyTech HR3 implementation ran alongside and was administered in conjunction with Emplive for rostering, Iinduct for online learning management, and CTARS for client management, reflecting an integrated HRIS and workforce operations stack. Operational coverage extended across the HR department and touched rostering, payroll, learning administration, client facing case work, and return to work coordination, with the HR Assistant maintaining and updating HR databases and system configurations.
Governance shifted toward centralized HR system administration, with the HR Assistant responsible for system administration tasks across HR3, Emplive, Iinduct and CTARS, and for coordinating process execution for recruitment, onboarding, induction, and training. Outcomes recorded in the role include continuous improvement via the electronic HR filing system, successful implementation and testing of HR3 alongside Emplive, Iinduct and CTARS, and organizational growth from 186 to 728 employees over eight years, demonstrating the operational role of ReadyTech HR3 in Westhaven Core HR and HR administration.
