In 2017, Winc Australia deployed RapidAP, an AP Automation application provided by Efficiency Leaders to support Accounts Payable processing. RapidAP AP Automation was used to centralize invoice intake and introduce structured workflows for the accounts payable function.
The implementation emphasized invoice capture and classification, handling both PO and non PO invoices, automated data entry for urgent and overdue invoices, and automated PO-to-invoice matching. Configuration included explicit validation and exception handling for receipting holds, price variance holds, shipment variance holds, and duplicate invoice detection, enabling clerks to triage and resolve exceptions within the RapidAP environment.
RapidAP was integrated with SAP systems for posting and receipting and operated alongside Elap automated processing systems for high-volume invoice ingestion. Operational coverage included Winc’s Accounts Payable team at the Mascot NSW site and required coordinated interactions with procurement and receiving teams to clear receipting holds in SAP and to request supplier credit notes when necessary.
Governance and workflow restructuring focused on exception escalation and supplier credit note workflows, with AP staff responsible for vendor statement reconciliation against SAP records and for advising other departments to action receipting tasks. Problem resolution processes were formalized around the RapidAP AP Automation workflows to ensure consistent handling of holds, credit note requests, and vendor reconciliations.

| SAP | Legacy | SAP HCM (HR) | Core HR | HCM | n/a | 2021 | 2021 |
In 2021 Winc Australia implemented SAP HCM (HR) as its Core HR system to standardize human resources processes across its Australian distribution operations. The deployment targeted HR master data, employee lifecycle management and operational HR services for approximately 1000 employees, and was executed inside Winc's broader SAP application estate under the accountability of the Head of Business Applications for execution, governance and evolution.
The SAP HCM (HR) implementation focused on standard Core HR capabilities, including personnel administration, organizational management, time and absence recording, and HR reporting and analytics. Configuration emphasis aligned with distribution industry workflows, with role based access, configuration of infotypes for employee records, and HR process automation such as onboarding and personnel changes.
SAP HCM was integrated into Winc's existing enterprise application architecture, joining SAP SD MM LE and FICO modules as well as third party systems listed in Winc's application portfolio, including Manhattan WMOS, SAP Ariba, Stibo STEP, SAP IBP, third party mobile applications and Salesforce. Those integrations supported synchronization of HR master data, time capture and operational workforce data across fulfillment, procurement and sales functions, and enabled a unified application landscape for workforce related transactions.
Governance and operational ownership remained centralized within the Head of Business Applications, with ongoing application maintenance, functional development and advanced support processes established for SAP HCM. Change control, functional release planning and cross functional HR stakeholder engagement were structured to align HR operational teams with IT run and maintain practices for Core HR services.
