In 2019, YMCA of Greater Nashua implemented SGA Fund Accounting as its Non Profit ERP to address high-volume invoice processing and multi-site approval complexity. The organization operates across multiple locations and required up to three levels of approval with more than 25 approvers, creating a manual workflow that included scanning, tracking approvals, cutting checks, mailing and filing.
The deployment centered on SGA Fund Accounting configured for fund accounting ledgers and accounts payable workflow management, with approval routing set to model the three-tier authorization structure used by the YMCA. To streamline back office operations the CFO also adopted a cloud-based accounts payable automation tool, Bill.com, for invoice capture, online document storage and automated approval routing.
Operational coverage focused on the corporate finance and accounting function while supporting distributed site inputs from branch locations, consolidating invoice tracking and document retention into centralized digital records. Stock Garber & Associates provided SGA Fund Accounting as the vendor for the financial system implementation.
Governance changes formalized the three-level approval workflow and centralized archival of scanned invoices, reducing manual filing and mailing steps. Reported outcomes include saving at least six hours per week for the accounting team and freeing capacity for annual financial planning and program optimization, while online storage reduced the physical office space needed for records.
