In 2015 YTI Career Institute deployed Workday HCM as its Core HR platform, replacing Oracle PeopleSoft HCM for a consolidated HR and payroll footprint across the institution. The engagement covered a 500 employee education organization in the United States and targeted Core HR, Payroll, Benefits, Compensation, and Recruiting functional domains within the HRMS estate.
The implementation involved hands on analysis, setup and configuration of Workday HCM in a Workday 25 environment, including end to end business process design. Functional modules and capabilities implemented included Core HR, Compensation, Benefits, Payroll configuration, and report development using Workday Report Writer and Workday Studio with BIRT form layouts, and creation of matrix, advanced, and composite reports across Compensation, Benefits, Core HR and Payroll.
Integrations were designed and built as a mix of outbound EIBs and inbound Studio integrations, including outbound EIBs to send benefits data to external vendors WageWorks and Your Cause, and inbound Studio integrations to update payroll deductions data from external payroll vendors described as Wage workers. Technical integration work used Workday Cloud Connect, Web Services, EIB, document transformation with XML and XSLT, and core connectors employing ETV and XTT transformations. A set of integrations was also developed to integrate Workday HR with the recruiting system.
Governance and delivery relied on structured discovery and design artifacts, with discovery sessions led with SMEs and Solutions Architects, goal oriented JAD sessions, one on one elicitation, and sign off on design and mapping documents. Data governance tasks included creation of use cases and data flow diagrams, data analysis and mock data for development and unit testing, and detailed test plans for system testing, end to end testing, and user acceptance testing. Project management activities included preparing a project charter and schedules in MS Project and ticketed operational support using Remedy and an ITSM ticketing system.
Post go live operational support and change activities focused on ongoing report development, conversion of PeopleSoft reports to Workday reports, and assistance with Workday HCM system upgrades and testing. The implementation narrative emphasizes Workday HCM as the Core HR application, integrated reporting and document transformation capabilities, and a governance oriented rollout that bridged HR, Payroll, Benefits, Compensation and Recruiting functions.
