The deployment targeted the firm legal function, a team of 23 attorneys and support staff operating across more than 22 offices worldwide, and exposed OnitX Workflow Engine via an Onit dashboard link on the corporate intranet for firmwide access.
The implementation delivered a My Legal Requests intake module that captures structured fields such as type of request to determine automated workflow routing to appropriately specialized attorneys. A separate Executed Contracts solution was provisioned and surfaced from the intake module, keeping versions, emails and redlines linkable and searchable to recreate negotiation histories. ZS also configured targeted applications for human resources matters with restricted access and a TPAA Compliance solution that links to the Executed Contracts repository for expiration tracking and data destruction workflows.
Operationally the solution centralized previously disparate artifacts that had been recorded on paper pink sheets, Excel spreadsheets and a Lotus Notes database, enabling asynchronous review by geographically distributed staff including a review queue used by attorneys in India. The My Legal Requests intake is accessible from the intranet so any employee can upload matters for legal review, and workflow branching based on captured fields routes work to the correct reviewers, improving handoff clarity and matter ownership.
Governance and process changes included formalizing request classification to drive routing, refining access controls for sensitive HR matters, and creating repeatable reporting workflows for daily status and compliance monitoring. The legal team iterated on the configuration over subsequent years to adapt to increased specialization and to support hoteling and open workspace practices that pushed the organization to reduce paper reliance.
Outcomes explicitly reported by ZS included an immediate decrease in turnaround time after the solution went online and next business day NDA review enabled by cross time zone staffing. Over the following six years the firm extended the OnitX Workflow Engine based tooling to improve collaboration, simplify reporting and move toward electronic files in place of paper records.
