Connecticut State Colleges and Universities Education 3000 $385M United States EMS Software EMS Event Management Event Management 2018 n/a In 2018, Connecticut State Colleges and Universities implemented EMS Event Management to provide system-wide scheduling and facilities orchestration across its colleges. The OIT team selected EMS Event Management because the vendor provided scheduling software that could integrate with the existing SIS and deliver both standardized process controls and campus-level flexibility. The deployment emphasized Event Management capabilities for centralized scheduling, room and resource booking, configurable workflows, and standardized data management across the system while permitting campus-specific configuration where needed. EMS consultants conducted on-site process reviews and configuration workshops to establish a common foundation and to map unique campus requirements into the platform. Integration work included linking EMS Event Management with the existing student information system to synchronize scheduling and user data, and the professional services team managed implementation sequencing across campuses. For the 12 community colleges the project was executed in two phases, first five colleges then seven, with each phase rolled out in two cohorts led by an EMS consultant and each cohort fully implemented within three to four months. Governance and change management included one-to-one briefings with deans, coordinated outreach to management and presidents, and consultant-led sessions to secure executive buy-in. The implementation addressed structural differences where some colleges used centralized facilities management and others used distributed models, with EMS configured to support both approaches. Stakeholder feedback was positive, several campuses already had departmental instances and users reported strong ease of use, while OIT staff credited EMS consultants with being flexible, patient, and effective at resolving institution-specific challenges.
Texas A&M University Education 11114 $2.9B United States EMS Software EMS Event Management Event Management 2016 n/a In 2016, Texas A&M University implemented EMS Event Management. Texas A&M University deployed EMS Event Management as an Event Management application to centralize facilities reservations and scheduling for the Department of Recreational Sports. Tawyna Elliott, Facilities Reservations Coordinator for the Department of Recreational Sports, and her team use EMS to organize ongoing activities and events and to produce accurate invoices and reports. The implementation focuses on core Event Management capabilities including booking and scheduling, space and resource management, invoice generation, and operational reporting to support multi-space coordination. The rollout covers several hundred bookable spaces across campus facilities, including indoor ball courts, multipurpose rooms, meeting spaces, outdoor facilities with tennis courts and dividable fields, and the Natatorium with four pools and a diving well. Operational scope centers on facilities reservations, event operations, and finance workflows tied to event invoicing and reporting. Governance concentrated scheduling and management into a single system used by the Department of Recreational Sports, enabling one-tool administration of room inventory, booking rules, and reporting outputs. EMS Event Management is used to sustain day-to-day scheduling, invoicing accuracy, and consolidated reporting for campus recreation facilities.
