In 2011 Staycity Group implemented Vision iDocuments Expense as a web-based front end to an updated SAP Business One platform, linking into the existing Opera property management system and serving as the company Expense Management solution. The Expense Management functionality was implemented as an integrated Purchase Order, Goods Receipt, Invoice and Expense approval system, and bespoke modules were developed for Housekeeping, Utilities Management, Employee Productivity reporting, and Quality and Maintenance to reflect Staycity operational workflows. SAP Business One was installed on a hosted server and integrated bi-directionally with the iDocuments platform, with all POs, GRNs and Invoices automatically synchronised to SAP. A suppliers and items database was created within SAP from existing manual records for each property, and configuration work included mailserver links, user configuration, SQL queries and report creation. The integration extended operational coverage to accounts personnel, property operations and maintenance teams, and interfaced with the Opera property management system as part of the solution landscape. The project combined business analysis and project management disciplines, significant data collation and cleansing, and full SDLC delivery for bespoke modules from requirements gathering through UAT, implementation and training. Backend work included a SAP Business One upgrade, accounts personnel training and the creation of sample journal import formats, all aligned to the Vision iDocuments Expense rollout and the Expense Management business function.
