SAP Field Service Management was integrated with Balta’s SAP ERP backbone, with maintenance orders created in SAP ERP and transferred to FSM based on status, and material consumption linked to the Materials Management module. Equipment and functional location master data, stock levels, and service order types were synchronized to enable live inventory accuracy and automated posting of hours back to SAP, and an initial standard integration required adaptation before recent releases allowed removal of most custom developments. Governance and rollout emphasized harmonization across plants, reliable on‑site connectivity, and stable mobile devices, with Balta selecting Apple iPhone for field use. Implementation partner Amista provided technical SAP expertise and a maintenance and service foundation, and Balta highlighted that user adoption and ongoing support were critical, noting that operational and management doubts and the Covid 19 situation slowed the rollout in places. Explicit outcomes reported by Balta include better insights and more detailed time and cost registration, improved visibility into expensive equipment, standardized automated reporting and KPI delivery, digitization enabling paperless management, reduced administrative workload for the warehouse manager, and more detailed online feedback from technicians. The initiative was scoped to support Astara Western Europe’s regional operations headquartered near Antwerp Belgium and to manage demo, test drive and sponsorship vehicles across the six European countries where the company operates, with an initial operational focus on Belgium and Luxembourg brands. The solution delivered reservation management, transport scheduling, preparation and cleaning workflows, sponsorship contract management, damage and repair tracking, workshop work overviews and monthly cost calculation modules. The Car Park application was built to be fully responsive on desktop laptop and mobile devices, and role based authorization was implemented to restrict actions by managers coordinators workshop and parking staff at the car park level. Architecturally the deployment used SAP Business Technology Platform with an SAPUI5 front end and single sign on through Active Directory Federated Services for Windows credential authentication. Interfacing between the Car Park application and SAP CRM was implemented via SAP Cloud Connector to import vehicle master data, and emailing and SMS functionality was provided through third party webservices including MailChimp, enabling automatic reminders to renters and pushed daily reservation summaries to car park managers. The implementation was delivered with Amista as the SI VAR. Governance and operationalization included role based access controls configured per car park daily pushed notifications and SMS reminders on the eve of reservations, and an integrated schedule to coordinate preparation transport and repairs just in time. Reported outcomes from the deployment include full visibility on vehicle characteristics calendar and status direct communication and in application confirmation with the external transporter automated monthly cost calculations vehicle location follow up and stated business results such as significantly reduced errors drastically increased reservation speed and efficiency a cost effective central platform high user adoption increased customer satisfaction and more transparent communication. | |
