In 2021, Entrata implemented Coupa Contract Lifecycle Management as part of a coordinated build out of a formal procurement function. Entrata selected Coupa Contract Lifecycle Management alongside Coupa modules for Procurement, Invoices, Payments, Expense, and Travel after assessing spend management options, with CrossCountry Consulting engaged as the implementation partner to accelerate delivery and process design. Coupa’s seamless integration to Entrata’s ERP was cited as a decisive factor in the vendor selection.
The project was executed in two phased waves, with CrossCountry Consulting leading a 16 week Phase I to configure Procurement, Expense, and Payments and a later Phase II to introduce Coupa Travel. Functional capabilities implemented included centralized procurement intake, electronic purchase order creation and approval workflows, mobile approvals and receipt capture, invoice automation, and contract lifecycle activities supporting contract negotiations. The Amazon Business punchout was enabled in eight weeks and configured for full invoice automation using Amazon Business cxml integration with Coupa.
Integrations were explicitly implemented with Entrata’s ERP for transactional flow and with Amazon Business for catalog and invoice automation, consolidating six Amazon Business accounts into a single Coupa procurement channel. Operational coverage spans procurement, accounts payable, expense management, travel booking, and contract management, supporting more than 250 buyers globally, 425 expense users, and 320 purchasers and requesters. Reported transactional activity from the rollout included over 2400 purchase orders across five countries, with more than 500 orders processed through Amazon Business and roughly 150 contract negotiations supported.
Governance and process change were delivered in parallel with technology, as Entrata hired a Procurement Director to found the procurement organization and established new policies and training programs to drive adoption and compliance. CrossCountry Consulting worked with Entrata leadership including the CFO and Purchasing Manager to centralize supplier onboarding, standardize approval policies, and rout new supplier requests and payments through Coupa. The two phased implementation reached go live in 16 weeks and remains the operational foundation for Entrata’s procurement, invoice, expense, and travel workflows while global rollout of additional regions and the BSM application continues.

In 2021, Entrata implemented Coupa Expense as part of a broader Coupa Software deployment to establish controls, compliance, and spend visibility for a rapidly expanding property management software provider. The project targeted Expense Management as the category focal point while the organization simultaneously stood up a formal procurement function and made strategic hires, led by Procurement Director Jeremy Parkin, with executive sponsorship from CFO Mark Hansen and operational leadership from Purchasing Manager Chris Smith. CrossCountry Consulting served as the implementation partner on a two-phased program covering Contracts, Procurement, Invoices, Payments, and later Travel.
Phase I delivered Procurement, Expense, and Payments through a 16-week configuration and go-live, with Phase II adding Coupa Travel. The implementation explicitly configured Coupa Expense workflows, approval chains, mobile approvals and the Coupa mobile wallet for receipt capture, and integrated invoice automation where supported. CrossCountry centralized procurement intake and configured standardized purchasing policies and approval workflows in the Coupa platform to ensure consistent enforcement of controls and compliance across departments.
Integrations included a seamless ERP connection to synchronize financial and payment data, and an Amazon Business punchout enabled in eight weeks with full invoice automation via Amazon Business cxml integration to Coupa. Entrata consolidated six Amazon Business accounts into the Coupa catalog, and all supplier onboarding, purchase orders, expenses, and invoice activity were routed through Coupa as the centralized intake point. Operational coverage extended to 250+ buyers globally, supporting more than 2400 purchase orders across five countries, with 500+ orders processed through Amazon Business, 425 expense users, 320 purchasers and requesters, and 150 contract negotiations recorded.
Governance and process changes were executed in parallel with the technical rollout, as Parkin and the procurement team authored new purchasing policies, trained end users, and established a centralized procurement organization to replace email-based approvals and ad hoc purchasing practices. CrossCountry facilitated rapid adoption by aligning people, process, and technology, formalizing supplier request routing and payment procedures within the Coupa platform. The two-phased rollout was used to phase regional and functional adoption, making Coupa the primary system of record for procure-to-pay and expense workflows.
Results reported by Entrata and CrossCountry include rapid centralization of spend management into Coupa Expense, smoother remote fulfillment through the Amazon Business punchout with drop-ship capability to distributed employees, and user adoption driven by a familiar catalog shopping experience and mobile receipt workflows. Entrata now uses Coupa Expense and the broader Coupa suite as the centralized intake and processing engine for procurement, expense, travel, and invoice activity, and continues phased expansion of procurement, invoice, and expense coverage into new regions along with deployment of the BSM application globally.
