The deployment addressed a manual fortnightly reporting process where staff visited separate project sites to compile status data into spreadsheets, a practice that became untenable with up to 100 active projects. The implementation, executed with Microsoft Gold PPM partner EPM Partners, configured Microsoft Project Online inside AGL’s Office 365 tenancy and deployed a Best Practice Showcase template of forms, workflows and reports. Showcase was optimized for AGL and configured to feed project metadata and reporting outputs directly into AGL’s Microsoft Azure SQL reporting platform, enabling real-time bespoke reports and standard Project Portfolio Management workflows. Operational coverage includes three Project Online instances supporting IT, Energy Services and Operations, with approximately 550 users across those instances. The architecture integrated Office 365 collaboration and identity capabilities with Project Online, while Azure SQL served as the centralized reporting backend, creating a single source of truth for schedules, costs, resource allocation and project documents. Rollout and governance combined strong executive sponsorship, formal workshops and training delivered by EPM Partners, and lifecycle configuration from idea capture through execution, close out and invoicing. AGL established a tracking policy for projects above about a quarter of a million dollars, and reported explicit outcomes including reduced reporting time from a full day to under three hours for status reviews, faster portfolio data extraction, reduced project administration, improved resource utilization and reduced project risk through timely access to consolidated project data. |
