GEP OpusCapita Source-to-Pay AP Process Automation was configured with rules to reflect pharmacy-specific authorization and certification requirements, and a mobile app extension was enabled to support approvers on the go. Operational coverage included 177 franchisee-operated pharmacies and approximately 320 users, with the platform also used centrally by three state-owned companies within the Apoteksgruppen service structure. The accounting function for member pharmacies remained outsourced to the service organization, while pharmacy owners retained local approval and coding responsibilities through the system. Governance and rollout followed a structured six month implementation phase to validate system limitations and create invoice management rules that accommodate pharmacy business needs for authorization and account coding. Stakeholders reported that the solution has worked well since deployment and continues to handle the annual invoice volume and user workflows described by Apoteksgruppen.

The solution integrated with the Swedish centralized prescriptions repository operated by Apotekens Service to support electronic prescriptions and meet the regulated requirements for prescription exchange. LS Retail Central was implemented on a Microsoft Dynamics NAV application stack to enable interfaces and data exchange between POS, inventory, and the prescriptions hub. Governance established centralized policy for pricing and accounting combined with local store execution by franchise owners, and the rollout plan aimed to migrate all 150 stores in a little more than a year. The stated business intent was to realize a profitable combination of local service and chain scale that would bring better customer experiences and improve the working environment for employees.
