Operational use spanned the Projects Division and the central finance and accounts teams, with explicit coverage for subcontractor management. Beard maintained a database of over 1000 subcontractors inside COINS ERP and used the application to complete end to end pre-qualification workflows, update tax and CIS verification details, request and track insurances and self-billing agreements, and issue Advice of New Works. Governance and transactional workflows were instrumented inside COINS ERP to coordinate procurement, accounts payable, and subcontractor compliance processes. Routine governance tasks documented in system use include sending liabilities to surveyors, running reports to capture out of date insurances and competencies, and the sequential handling of entering, releasing and authorising retention payments in the finance workflow.
