In 2003, Beard Construction implemented COINS ERP as its core Construction ERP to support procurement and finance workflows. The initial deployment surfaced in the Projects Division based in Swindon and established COINS ERP as the system of record for material ordering and project procurement activities.
The implementation covered procurement management and project purchasing capabilities, including placing and tracking orders, enforcing supplier delivery schedules, and managing the material ordering system within COINS. Finance and accounts functionality was configured to support purchase ledger processing, invoice scanning and attachment to ledger entries, entering liabilities, and handling retention payments within COINS ERP.
Operational use spanned the Projects Division and the central finance and accounts teams, with explicit coverage for subcontractor management. Beard maintained a database of over 1000 subcontractors inside COINS ERP and used the application to complete end to end pre-qualification workflows, update tax and CIS verification details, request and track insurances and self-billing agreements, and issue Advice of New Works.
Governance and transactional workflows were instrumented inside COINS ERP to coordinate procurement, accounts payable, and subcontractor compliance processes. Routine governance tasks documented in system use include sending liabilities to surveyors, running reports to capture out of date insurances and competencies, and the sequential handling of entering, releasing and authorising retention payments in the finance workflow.
