In 2013, C.A.T. implemented Microsoft Dynamics GP Accounts Payable as an AP Automation solution. The deployment targeted finance and accounts payable operations supporting C.A.T. North America, including the Coteau-du-Lac, Quebec finance site. The full application name Microsoft Dynamics GP Accounts Payable is the system of record for invoice capture, approvals and payment execution across the carrier's multiple divisions and terminal locations.
The implementation configured core accounts payable modules including invoice validation and entry, vendor master maintenance, invoice-to-payment matching, payment processing for checks, electronic transfers and wires, and vendor statement reconciliation. The solution was set up to support month-end closing tasks and exception handling workflows to surface and resolve payment discrepancies. Automated routing and approval sequencing consistent with AP Automation practices were used to enforce signature requirements and control check distribution.
Operational use centered on the finance team and Accounts Payable agents in a high-volume environment, where staff responsibilities included invoice review prior to entry, payment request processing, matching invoices to checks, responding to vendor inquiries, and reconciling vendor statements. Payment workflows in Microsoft Dynamics GP Accounts Payable covered manual check handling and electronic payment methods required by the business. The implementation supported bilingual operations in English and French to align with local staffing and vendor communication requirements.
Governance and process changes included standardized invoice review checkpoints, enforced signature capture for check issuance, structured vendor inquiry and resolution paths, and retention of AP documentation in line with company policy.
