| Sage | Legacy | Sage 300 ERP (formerly Accpac) | ERP Financial | ERP | n/a | 2018 | 2018 |
In 2018, Chef Works implemented Sage 300 ERP formerly Accpac as its ERP Financial solution to address higher transaction volumes and more sophisticated budgeting and financial reporting requirements. The deployment was driven by the need to centralize order entry, financial management, and reporting across a San Diego distribution operation serving the restaurant and hospitality industries worldwide.
The implementation included core financial management and order processing configuration within Sage 300 ERP, alongside Sage CRM for contact management and customer workflows. Reporting and analytics were initially delivered with Crystal Reports and later standardized onto MS SQL for a unified web dashboard, enabling dashboard reports and day to day system maintenance by internal teams. Chef Works also developed a customer-facing web order entry portal that enforces branding and decoration rules and feeds orders into the Sage 300 order entry flow.
Sage 300 ERP was integrated with a set of operational systems to support fulfillment and decoration workflows, including EmbTrak for automated embroidery tracking and Warehouse Librarian by Intek for warehouse automation and carousel picking. Orders are processed in Sage 300 and routed to Warehouse Librarian for picking, with decoration guidelines consumed from EmbTrak and results returned to the warehouse for packing and shipment. Additional integrations included AvaTax for sales tax calculation, DataSelf for warehousing reports, and an integrated ecommerce website, all unified through SQL data access for cross application reporting.
Governance and operating model changes emphasized application ownership and a single point of contact for support and development. Equation Technologies provided architecture, training, and an ongoing support agreement that enabled Chef Works to assume operational ownership of system tables, report development, and daily maintenance while retaining external advisory support. Standardizing on SQL and documenting table and data structures allowed internal teams to extend dashboards and add system components without recurring dependency on multiple providers.
Explicit outcomes reported from the implementation include reduced costs, streamlined order processing, and an 18% revenue increase within the first year of the Sage 300 ERP project. Operational metrics stated by the company include processing 350 to 400 orders per day, picking nearly 10,000 pieces per day, an embroidery error rate under 0.5%, a 9% reduction in labor costs, and a 19% increase in order quantity shipped year over year. These results reflect the cumulative effect of the ERP Financial deployment, integrated embroidery and warehouse automation, and consolidated reporting and support practices.

| Paylocity | Legacy | Paylocity Payroll | Payroll | HCM | n/a | 2018 | 2018 |
In 2018, Chef Works implemented Paylocity Payroll to standardize payroll processing across its corporate office and Canadian subsidiary. Paylocity Payroll was configured to handle bi-weekly payroll and off-cycle checks for more than 200 multi-state employees, covering hourly workers, salaried staff, commissions, and bonus pay components, aligning with the company payroll category Payroll and core HR finance operations.
The deployment emphasized core Payroll capabilities including payroll calculation, tax withholding and reporting, and support for quarterly estimated tax payments and year-end audit documentation. Paylocity Payroll was used to support payroll-related financial reporting across three related-party entities, and the system accommodated the company practice of coordinating with external tax preparers for compliance and filings.
Operational integration included Paylocity Payroll operating alongside the organizations financial applications such as ACCPAC Sage 300, supporting payroll journal entry posting and balance sheet reconciliations during month-end close. The finance and accounting team, in particular the General Accountant responsible for Payroll, leveraged Paylocity Payroll for multi-entity payroll processing while also supporting accounts payable entry tasks tied to inventory and vendor management workflows.
Governance and workflow responsibilities were assigned to the accounting function, with the General Accountant performing payroll processing under limited supervision, preparing journal entries, executing account reconciliations, and assembling documentation for state sales tax audits and year-end reviews. Paylocity Payroll served as the operational backbone for payroll administration, tax compliance activities, and the accounting month-end close process within Chef Works.

In 2021, Chef Works deployed LivePerson Conversational Cloud on its website to provide automated messaging and live chat capabilities. The deployment positions LivePerson Conversational Cloud as the primary Chatbots and Conversational AI interface for customer-facing digital channels at Chef Works.
The implementation configured cloud-hosted web messaging, conversational flow orchestration, automated response and intent routing capabilities consistent with Chatbots and Conversational AI platforms. Configuration activity targeted web chat widget behavior, session handling, and defined escalation paths to human agents to support customer service and e-commerce inquiry handling.
LivePerson Conversational Cloud runs as an embedded front-end widget on the Chef Works website and is operated by customer service and e-commerce teams within the United States. The deployment leverages the vendor hosted cloud model, with conversational sessions delivered through the website interface and managed through the LivePerson console.
Operational governance focused on conversational script management, escalation workflows to live agents, and agent training for use of LivePerson Conversational Cloud and canned reply libraries. Rollout emphasized integrating Chatbots and Conversational AI into existing support workflows to centralize web-based customer engagement rather than creating a separate channel.
