Microsoft Dynamics GP was configured to support transactional AR processing including posting of ACH, wire, check, and credit card payments, cash journals, transfer journal entries, write offs of bad debts, and creation of debit and credit memos. The implementation supported high volume customer account management processes, including monthly statement production for a customer base approaching twelve thousand, and routine posting and reconciliation of credit card receipts and corporate deposits.
Operational processes span Microsoft Dynamics GP and ancillary systems such as OPUS for vendor profile and vendor onboarding tasks, with staff maintaining vendor account information and responding to W9 and vendor setup requests through those workflows. Day to day operations include collaboration between the AR team and collections functions, handling special client billing needs, and responding to client portal delivery and inquiry workflows.
Governance emphasized standardized policies and procedures for cash application, reconciliations, and journal control, with experienced AR staff responsible for posting and research and for training and mentoring less experienced team members. Configuration centered on payroll processing and timekeeping, using ADP Workforce Now with Time and Attendance to capture hours, perform data entries and adjustments, and execute distribution runs. Functional capabilities implemented included employee lifecycle management workflows such as new hire entry, employee maintenance for deductions and garnishments, benefit enrollments, terminations and COBRA notices. The implementation also maintained employee personnel files and payroll records and supported orientation activities.
Operational integrations were realized through ADP Workforce Now's Time and Attendance linkage, enabling consolidated payroll runs and labor statistic reporting. Reporting workflows produced scheduled and ad hoc outputs, including year end bonus reports for the CEO and monthly payroll reports for the Accounting Controller. The system was used by HR and payroll teams to manage multi-state compliance and multiple worksite labor reporting.
Governance focused on a regular bi-weekly payroll cadence, documented procedures for processing salary adjustments and employee elected deductions, and operational controls for garnishment and support payment processing. Day to day responsibilities included processing entries, adjustments and distributions, assisting employees with HR and payroll inquiries, and supporting additional HR projects. ADP Workforce Now served as the central Core HR application for payroll and HR administration at Cogency Global.
