In 2018 Covington & Burling implemented Ascent ELM from doeLEGAL, an Enterprise Legal Management application to centralize matter billing and eBilling workflows. Ascent ELM was provisioned to support the firm’s Finance and Accounting billing coordinator activities, covering work for roughly 40 partners and the generation of approximately 300 invoices per month totaling upwards of $20MM.
The deployment focused on core billing and matter management capabilities typical of Enterprise Legal Management, including configuration of tiered fee discounts, fee caps, alternative fee arrangements, and retainer handling. Functional workflows implemented included prebilling review and distribution, month end processing, time and expense transfers and edits, invoice formatting and supplemental billing documentation, and controls for write offs, cancellations, posting and mailing of bills.
Ascent ELM was integrated into the firm’s electronic billing ecosystem, handling eBilling submissions and rejection management with vendor HUBs explicitly referenced in firm processes, including Serengeti, Ascent vendor hubs, Collaborati and CounselGo. Financial analysis and reporting workflows were linked to existing tools used by the billing coordinator, notably spreadsheet analysis in Excel with Pivot Tables and VLOOKUP and interfacing with Thomas Reuters Elite 3E for rate negotiation and reporting inputs.
Governance and operational ownership were structured around the Finance and Accounting department with the billing coordinator responsible for enforcing complex billing rules, managing timeliness of billing, allocating funds and tracking electronic bill status.
