In 2012, Daytona Beverages implemented VIP Financial. Daytona Beverages implemented VIP Financial, a Distribution ERP, to centralize financial and route accounting functions for the 30-person beverage wholesaler and to support financing and acquisition activities.
The implementation encompassed core financial modules including general ledger management, recurring and adjusting journal entry processing, and monthly account reconciliations, plus cash flow forecasting and long horizon revenue and expense planning. Route accounting and inventory capabilities were converted to VIP Financial and configured to enable location based inventory and a voice picking process, while custom reporting was provisioned to produce projected monthly cash flow reports, ten year plans, and ad hoc management reports used for budgeting and lender requests.
Operational scope included accounting, finance, and warehouse operations, with direct collaboration between the finance team and the warehouse manager to establish inventory control, optimize picking procedures, and minimize loss. The system supported an acquisition integration where the accounting department expanded two and a half times, and it was used to prepare financial documents requested by principals to secure financing for another distribution wholesaler.
Governance changes introduced standardized internal control procedures, recurring invoice review processes to manage costs, and coordinated workflows for the annual audit with external auditors. VIP Financial was the Distribution ERP instrument used to manage recurring journal entries, audit coordination, and consolidated financial reporting for Daytona Beverages, while enabling the procedural controls needed to scale accounting operations during business growth.
