In 2024, Duke University migrated from SAP R3 to SAP S/4 HANA in a planned ERP Financial upgrade that was announced March 12, 2024 and scheduled for April 2024. The SAP S/4 HANA implementation was described as primarily technical, however the technical upgrade produced underlying structural changes that required coordinated user transitions across administrative functions.
The implementation affected core modules and user-facing workflows accessed through Duke@Work, including Employee Self-Service, IForms, Buy@Duke, and the Grants Management Tab, reflecting ERP Financial scope across procurement, grants administration, and HR self-service. A key configuration change introduced a new Work Flow approval process for electronic requisitions, replacing the existing Purchasing Group Release Strategy approvals, which altered requisition lifecycle management and approval routing.
Operational impact included scheduled, extended downtime for key operational systems to support the technical migration, with the outage scope described as impacting the entire Duke community and all Duke@Work functions. Transition support assets were provided for end users, including detailed transition documentation, training opportunities, step by step and quick reference guides, and demonstration videos, with managers identified as the escalation point for questions.
Governance and rollout rules were explicitly set around procurement processing windows, requiring that all requisitions not fully released by department approval by 5:00pm on Wednesday April 10 2024 be cancelled and recreated in SAP S/4 HANA on Monday April 15 2024. Requisitions fully approved by Wednesday 5:00pm were to be processed as normal, demonstrating a cutover governance approach that enforced a clean transactional state at go live.
The public communications prioritized coordination and training to mitigate user disruption, and they flagged extended downtime as the primary operational risk for the campus community during the SAP S/4 HANA cutover.
