A key configuration change introduced a new Work Flow approval process for electronic requisitions, replacing the existing Purchasing Group Release Strategy approvals, which altered requisition lifecycle management and approval routing.
Operational impact included scheduled, extended downtime for key operational systems to support the technical migration, with the outage scope described as impacting the entire Duke community and all Duke@Work functions. Transition support assets were provided for end users, including detailed transition documentation, training opportunities, step by step and quick reference guides, and demonstration videos, with managers identified as the escalation point for questions.
Governance and rollout rules were explicitly set around procurement processing windows, requiring that all requisitions not fully released by department approval by 5:00pm on Wednesday April 10 2024 be cancelled and recreated in SAP S/4 HANA on Monday April 15 2024.
