In 2016, Essentia Health implemented Epic ASAP. Epic ASAP, categorized as Clinical Trial Management, was deployed within Essentia Health's Epic inpatient application portfolio to capture emergency department encounters and embed research-related patient identification into routine clinical workflows.
Configuration work focused on encounter management, registration, scheduling and protocol enrollment workflows consistent with Clinical Trial Management functionality. The Epic ASAP implementation was tied into Epic Inpatient Applications and configured to interoperate with ClinDoc for clinical documentation, Stork for obstetric linkage, Infection Control for surveillance, Inpatient Orders for order routing, Optime for perioperative scheduling and Anesthesia modules to share perioperative data, enabling consent documentation capture and research-focused order sets.
Integration used intra-suite Epic interfaces to exchange patient demographics, encounters, orders and documentation between Epic ASAP and other inpatient modules. Operational coverage included emergency department and inpatient units with configuration and application support provided by the EHR Application Supervisor operating out of Essentia Health's Duluth, Minnesota area.
Governance was managed by the internal EHR application team, with the EHR Application Supervisor coordinating configuration, validation, testing and go live sequencing across inpatient applications. Application-level governance processes were applied to training, workflow alignment and change control to ensure Clinical Trial Management workflows were embedded into ED and inpatient care paths.
