In 2017 FamilyMart Malaysia implemented Microsoft Dynamics NAV to support its ERP Financial processes. The deployment targeted core financial accounting and transactional control for the retailer's Malaysia operations, aligning day-to-day accounts payable and receiving workflows with centralized HQ reporting.
Microsoft Dynamics NAV as an ERP Financial system was configured to emphasize purchase to pay capabilities, including Purchase Order entry, Goods Received Note processing, Return to Vendor transactions, receiving payment posting, and accounts payable ledger management. Functional configuration also included invoice capture and validation, document classification and filing, and support for month end close procedures used by the Accounts & Finance team.
Operational scope covered headquarters Accounts & Finance and store level reporting, with daily store reports sorted and filed at HQ for reference. Staff used Microsoft Dynamics NAV to key in receiving payments and related transactional records for external suppliers such as Gardenia Bakeries Sdn Bhd, Italian Baker Sdn Bhd, Today Bakeries Sdn Bhd, Fuji Bakery and Mighty Bakery Sdn Bhd, demonstrating supplier transaction handling within the ERP Financial environment.
Governance and workflow controls were implemented around invoice validation and document management, with processes to flag and clarify unusual or questionable invoice items prior to posting, and to categorize incoming documents into mail bills, contracts, policies and workers medical certificates. Task ownership and shadowing within the Account & Finance department reinforced controls and supported timely month end closing activities.
