In 2017 FirstGroup implemented SAP S/4 HANA Finance as part of an ERP Financial consolidation to bring Logistics and Finance into a single SAP landscape. The deployment positioned SAP S/4 HANA Finance as the core financial application while consolidating transactional logistics into the SAP estate.
The implementation unified Logistics and Finance modules, with Logistics previously running on SAP 4.6 and Finance moved onto SAP S/4 HANA Finance. As Interface Lead based in Aberdeen beginning August 2017 responsibilities included designing and implementing interface solutions using IDocs, developing enhancement spots, and producing Adobe forms to support document output and transactional automation.
Custom IDoc development was used to migrate purchase orders from SAP 4.6 into SAP S/4 HANA, and additional IDoc interfaces were implemented to post financial documents and to create goods movements in S/4 HANA. Adobe forms were developed for purchase orders, vendor remittance, dunning letters, accounts receivable invoices and customer statements, integrating form-driven outputs with procurement, AR and AP workflows.
Enhancement spots were implemented to customize standard IDoc processing for FirstGroup, focusing on message handling and exception processing within the interface layer. The work emphasized interface architecture, IDoc orchestration and form automation to align SAP S/4 HANA Finance with FirstGroup operational processes across procurement, accounts payable, accounts receivable and inventory functions.

In 2017, FirstGroup implemented Appogee Leave as part of its Appogee HR deployment to address gaps in absence tracking across the transport group. Appogee Leave is categorized as Absence and Leave Management and was introduced after the corporate HR system was unable to process leave and sickness, prompting a targeted rollout beginning with a small department and expanding across additional divisions including bus and rail operating units.
The implementation focused on core Absence and Leave Management capabilities, configured to support leave requests, sickness logging, and manager approvals with streamlined, few-click workflows. The deployment included configuration of complex entitlement profiles to handle part-time allowances and other nonstandard work patterns, and the Appogee HR team provided upskilling and configuration assistance for those complex profiles to minimize user training requirements.
Operationally, Appogee Leave centralized absence data into a single data store for HR and management use, improving visibility for payroll processing and leaver management workflows that previously lacked consistent absence information. The system was used by HR teams, managers, and employees across multiple business functions, enabling employees to request leave, log sickness, and view team absences while enabling managers to approve requests and HR to maintain a consolidated absence record.
Governance and rollout followed a pilot-first approach, with phased adoption across the group and a focus on standardizing approval workflows and data capture to reduce policy variation. Ongoing technical support and a low training footprint were highlighted by FirstGroup as enablers of adoption, and HR and management feedback emphasized consolidated data visibility and simpler approval and request processes as primary benefits.

In 2021, FirstGroup implemented HxGN EAM (Ex. Infor EAM) to formalize Enterprise Asset Management across its engineering and maintenance functions. The deployment targeted standardization of asset records and maintenance workflows to support a divisional shift to a Reliability Centred Maintenance based approach and to provide a unified system of record for engineering operations.
The HxGN EAM implementation focused on configuring core modules including the asset register, work order management, preventive maintenance planning, scheduling, and reporting suites. Configuration and automation work emphasized end to end process streamlining, role based access controls, reporting for RCM practitioners, and features that align with FirstGroup engineering operating model and regulatory procedures.
Integrations were developed as interfaces, APIs and data feeds to expose asset and maintenance data to reporting layers and operational consumers, with continued development of feeds and reporting suites noted as ongoing work. Operational coverage centers on engineering departments and maintenance end users, with technical maintenance conducted as business as usual and system subject matter experts providing frontline support and escalation handling.
Governance and rollout combined standardization of system use, training for engineering end users on RCM fundamentals, and establishment of protocols and access governance to maintain regulatory compliance. Collaboration between engineering subject matter experts, business analysts, support partners and the project team drives iterative configuration changes, reporting enhancements and protocol development for sustained asset management practice.
