In 2023, Fulcrum Coffee implemented Acumatica Cloud ERP as its ERP Financial solution, replacing Intuit QuickBooks Enterprise to address growing complexity across distribution and craft roasting operations. The deployment targeted core financial management and distribution workflows for a 20 person organization that operates equipment and barista training services, company cafes, bottled beverage production, and emerging hospitality activities.
The Acumatica Cloud ERP implementation configured integrated financial management, inventory control and distribution capabilities, with specific attention to multiitem inventory and kit assembly workflows that previously strained QuickBooks. Functionality implemented included generalized ledgers and accounts payable and receivable, inventory tracking for thousands of SKU level items, built kit handling to capture components and labor, and reporting that supports monthly close and financial analysis.
NexTec Group served as the implementation partner for the migration from Intuit QuickBooks Enterprise, executing data migration and solution provisioning. The solution was deployed on Acumatica Cloud ERP as a cloud hosted architecture to enable faster remote access and eliminate the previous downtime experienced under older remote desktop arrangements, supporting Fulcrum Coffee’s hybrid workforce.
Governance and process changes centered on strengthening accounting controls and restructuring month end and inventory reconciliation workflows to align with the ERP Financial application. Operational ownership shifted toward consolidated ERP processes for order to cash, inventory replenishment and kit assembly, enabling standardized distribution model support and clearer financial stewardship across departments.
Fulcrum Coffee reported outcomes that were documented during the engagement, including a more efficient monthly closing process, improved remote and hybrid workforce productivity, simplified financial reporting and stronger accounting controls, and the flexibility to experiment with additional distribution models. The company also cited NexTec Group’s responsiveness and organization as a material factor in achieving a stable, cloud hosted Acumatica Cloud ERP environment.
