In 2018 Gelato Messina implemented Xero as its ERP Financial application with assistance from SMB Consultants to move finance and accounting onto a cloud payroll and bookkeeping platform. The decision followed a period where the business was operating with manual back-end processes and paper-based systems that constrained rostering, timekeeping, and payroll accuracy, creating an immediate need for a cloud-based financial system to support multi-site operations.
The Xero implementation focused on core accounting and payroll workflows within the ERP Financial category, configured to accept timesheet data and employee records from an external scheduling system. Xero was provisioned to handle payroll processing and chart of accounts consolidation, while configuration work included mapping pay formulas at the employee level so imported timesheets could be correctly translated into payroll runs.
Integration architecture centered on an out of the box connection between Xero and the Deputy workforce management platform, enabling automated import of timesheets into Xero payroll and export of employee personal details from Deputy into Xero. Operational coverage extended across multiple store sites and touched finance, HR and store management functions, with store managers relying on Deputy for rostering and Xero for final payroll reconciliation.
Governance and process changes included standardizing pay formula assignment per employee in Xero and instituting a cadence where timesheets exported from Deputy are reviewed and imported into Xero for payroll execution. Reported outcomes from the deployment included greater payroll accuracy, reduced paperwork, faster multi-site rollout of cloud rostering and wages, and improved staff trust and administrative efficiency, benefits that were attributed to the combined Xero and Deputy solution and the consulting support from SMB Consultants.

| Xero | Legacy | Xero Payroll | Payroll | HCM | SMB Consultants | 2018 | 2018 |
In 2018 Gelato Messina implemented Xero Payroll to centralize payroll processing across its multi-store Australian operations within the Payroll category. The rollout followed an SMB Consultants engagement that had already moved finance and accounting onto the Xero platform, and was coordinated with Deputy for time and attendance capture to create an end to end payroll workflow.
Xero Payroll was configured to accept timesheet imports from Deputy, with employee personal details exported from Deputy into Xero Payroll and pay formulas maintained per employee inside Xero. Core functional capabilities implemented included automated timesheet ingestion, payroll calculation driven by configured pay rules, and centralized pay run preparation for store-level staffing cohorts and head office payroll administrators.
Integrations were a central element of the implementation, SMB Consultants linking Deputy and Xero Payroll so that hours logged at individual Gelato Messina stores flowed directly into the payroll engine. Operational coverage included all retail sites and store managers who used Deputy for rostering and clock ins, while payroll administrators used Xero Payroll for finalization and payments, creating a single source of truth for hours and pay data.
Governance and process changes formalized a new payroll workflow, where managers confirm rosters and timesheets in Deputy, exported data is reviewed and pay formulas are updated in Xero Payroll, and payroll runs are executed centrally. Explicit outcomes reported by the business include reduced paperwork, greater accuracy in determining pays, improved staff trust, and a cloud based, streamlined rostering and wages process that provided a more reliable payroll operation.
