In 2016, Gillette Pepsi Cola selected Epicor ECM as its Enterprise Content Management platform to centralize accounting activities across four separate distribution companies and to replace an aging Laserfiche install. The decision initiated a focused program to unify accounts payable workflows companywide under a single content management application.
The Epicor ECM implementation leveraged DocStar Enterprise Content Management capabilities, deploying advanced workflow, reporting, intelligent data capture, and DocStar Forms to digitize vendor invoices and convert paper archives into indexed electronic documents. The system was configured during a brief setup period of a few weeks and the DocStar solution went live in August 2017, provisioned under a perpetual licensing model that covered 54 users across four locations.
Operational scope targeted finance and accounts payable, processing roughly 500 vendor invoices per month and enabling multiuser, browser-based access for staff across southern Minnesota, northeast Iowa, and southwest Wisconsin. Epicor ECM integrated with Microsoft Dynamics GP to align captured invoice data with AP posting and general ledger workflows, while automated notifications and routed inboxes enforced approval sequences.
Governance was restructured around centralized accounting control and electronic approval actions, removing manual mail and fax routing and enabling instant retrieval of invoices by authorized users. Gillette Pepsi Cola reported a 25 percent reduction in AP processing times and a four to six day decrease in invoice turnaround, while the perpetual licensing approach was cited as more cost effective for a dispersed 54 user base.
