Epicor Legacy Epicor ECM AP Automation AP Automation ERP n/a 2016 2016
In 2016, Gillette Pepsi began the search for an advanced content management and AP Automation solution and selected Epicor ECM AP Automation, deployed as DocStar Enterprise Content Management. The selection was driven by the need to coordinate accounting activities across four separate Gillette Pepsi companies and to replace an older Laserfiche deployment that had not been updated. The Epicor ECM AP Automation implementation configured core DocStar capabilities including intelligent data capture for vendor invoices, advanced workflow for routing and approvals, reporting for visibility into processing, and DocStar Forms for custom digital document entry. Perpetual licensing was procured to support about 54 named and intermittent users across four locations, and initial setup completed in a few weeks prior to production go-live. DocStar Enterprise Content Management integrated out of the box with Microsoft Dynamics GP to align captured invoice data with ERP posting and validation workflows. Operational coverage centralized vendor invoice intake and storage, enabled web browser access for authorized users at four distribution areas serving southern Minnesota, northeast Iowa, and southwest Wisconsin, and supported roughly 500 invoice transactions per month handled by accounts payable. Go-live occurred in August 2017 following the 2016 selection, and governance established centralized accounting control, inbox-level access restrictions, and workflow notifications to enforce approval processes. Outcomes reported by Gillette Pepsi included a 25 percent reduction in AP processing times, a four to six day reduction in invoice turnaround time, and instant electronic retrieval of invoices by multiple users.

Paylocity ATS was configured to support core applicant tracking workflows typical to the Recruiting,Applicant Tracking System category, including job requisition posting, configurable online application forms, candidate tracking and status progression, resume parsing, interview scheduling, and offer workflow orchestration. The configuration emphasizes structured requisition management and a centralized candidate database to streamline hiring coordination between HR and hiring managers. Operational coverage centers on corporate HR and site hiring teams within Gillette Pepsi Cola, with the Paylocity ATS instance providing role based access for recruiters and hiring managers and standardized applicant status transitions for governance of the hiring process. Epicor Legacy Epicor ECM Enterprise Content Management Content Management n/a 2016 2016
In 2016, Gillette Pepsi Cola selected Epicor ECM as its Enterprise Content Management platform to centralize accounting activities across four separate distribution companies and to replace an aging Laserfiche install. The decision initiated a focused program to unify accounts payable workflows companywide under a single content management application. The Epicor ECM implementation leveraged DocStar Enterprise Content Management capabilities, deploying advanced workflow, reporting, intelligent data capture, and DocStar Forms to digitize vendor invoices and convert paper archives into indexed electronic documents. The system was configured during a brief setup period of a few weeks and the DocStar solution went live in August 2017, provisioned under a perpetual licensing model that covered 54 users across four locations. Operational scope targeted finance and accounts payable, processing roughly 500 vendor invoices per month and enabling multiuser, browser-based access for staff across southern Minnesota, northeast Iowa, and southwest Wisconsin. Epicor ECM integrated with Microsoft Dynamics GP to align captured invoice data with AP posting and general ledger workflows, while automated notifications and routed inboxes enforced approval sequences. Governance was restructured around centralized accounting control and electronic approval actions, removing manual mail and fax routing and enabling instant retrieval of invoices by authorized users. Gillette Pepsi Cola reported a 25 percent reduction in AP processing times and a four to six day decrease in invoice turnaround, while the perpetual licensing approach was cited as more cost effective for a dispersed 54 user base.
