In 2016, Kent State University implemented Emburse Enterprise as its Expense Management solution. The Emburse Enterprise deployment was executed within the university enterprise application portfolio that included Banner ERP, Salesforce and Slate CRM systems, Blackboard Learn and Canvas learning management systems, TimeClock Plus timekeeping, and facilities management applications, and it was provisioned as a university wide service for finance and administrative users.
The implementation configured core Expense Management capabilities, including expense report creation and approval workflows, mobile receipt capture and upload, policy compliance enforcement, accounting code and cost center mapping, and automated journal entry preparation for downstream posting. Emburse Enterprise was configured with integration points to Banner ERP to support accounting ledger posting and cost center reconciliation, and to TimeClock Plus to enable alignment of time-related charges and payroll cost allocation where applicable.
Deployment and operational architecture were managed under the Enterprise Application Management team and aligned with existing infrastructure responsibilities for networking, data center operations, and security. The solution was operated alongside other packaged vendor systems within the university data center and network design standards, with infrastructure engineering and security oversight embedded in the rollout.
Governance and rollout were coordinated through the Project Management Center of Excellence, using cross divisional representation to oversee the project portfolio, program management, and the PM tool suite. Change control, stakeholder engagement across finance and departmental business owners, and integration testing with Banner ERP and TimeClock Plus were instituted as part of the implementation governance.
