In 2009 King & Spalding implemented SumTotal Expense Management as its Expense Management platform to manage travel and entertainment expenditures and centralized T&E workflows. SumTotal Expense Management was used by firm personnel to submit expense reports, and finance teams audited and approved T&E expense reports submitted by employees using the application. In 2017 King & Spalding implemented FIS Relius to centralize administration of the firm’s retirement programs, using FIS Relius for Benefits Administration,Pension Administration responsibilities across US and international payroll touchpoints. The deployment focused on operationalizing defined contribution administration and recordkeeping workflows to manage the firm’s profit sharing and 401(k) plan alongside the cash balance defined contribution plan.
FIS Relius was configured to support core functional modules including participant record management, participant education coordination, salary sacrifice calculations for the London office, compliance testing workflows, and annual Form 5500 preparation and submission. The implementation established data audit and reconciliation processes inside FIS Relius to support top-heavy testing, non-discrimination testing, and to validate data integrity before engaging external auditors.
Operational integrations and stakeholder coverage emphasized collaboration with external auditors Ernst & Young, plan providers, and other business partners, while sustaining cross-functional support for Benefits, payroll, finance and tax teams. The team used FIS Relius outputs to produce quarterly K1 reports for Finance and Tax, to audit annual Workers Compensation Insurance renewal data, and to generate standard and ad hoc reports that inform plan administration and committee decisions.
Governance and process controls were instrumented around data audits, compliance review cycles, and participant communications to align with the firm’s retirement plan committee goals and initiatives. Responsibilities retained in the Relius environment included preparing and submitting annual Form 5500 for wellness and retirement plans, reviewing auditor-provided testing results, and ongoing administration tasks while staff pursued formal benefits certification to strengthen internal expertise.
