The implementation supported processing of mileage, car allowances and sundry employee expenses, along with the production of weekly and monthly expense figures used in cash flow reporting. Operational integration points reflected explicit operational practices, with daily payment checks performed through Eiger Pay and regular extraction of banking figures for cash flow review. Expense data and deduction inputs were used to drive monthly salary deductions for personal mileage and corporate card overspend, and the system was embedded into finance operations that supported distribution and partner store reporting. Governance and process changes established role level ownership and recurring controls, including weekly and monthly expense reviews with senior leadership via an expenses and overheads dashboard, active challenge workflows for non travel spend, managed gift declaration processes, and daily reconciliation tasks aligned to the financial reporting calendar. Day to day system administration and claim processing were performed by finance roles such as Accounts Assistant and Assistant Accountant who also coordinated cost centre analysis, VAT checks and ad hoc payment processing.

Governance and rollout required restructuring merchandising and distribution workflows to align with the Retek driven back-end and the centralized POS front-end, and the centralized approach is designed to provide effective order tracking and to enable optimization of business performance through unified order visibility.
