Functional automation addressed proceedings, negotiations, contract approvals and invoice lifecycle management to reduce manual processing and provide a centralised contracts and transaction history for buyers. The deployment used Ivalua’s cloud architecture and included explicit integration design with the company SAP environment to synchronize purchase orders, contract metadata and invoice posting. OptiBuy served as the implementation partner responsible for configuration, certified team delivery and tailoring of user experience to internal procurement processes. Operational coverage concentrated on procurement and accounts payable teams, positioning the solution to become the transactional backbone for procurement activities. Governance and rollout were managed over a year long project with emphasis on supplier onboarding, transparency of procurement operations and user experience. Stated objectives included increasing the safety of transactions, improving internal process effectiveness, ensuring a foundation for long term development and building competitive advantage. The project aimed to eliminate manual errors, shorten time spent on procurement processes and centralise supplier and contract data to support more informed buyer decisions.

In 2015, PKP Energetyka implemented SAP HCM as its Core HR system. The deployment covered payroll settlement, organizational structure management and settlement of business trips, consolidating HR administration for the Polish utilities firm with approximately 4000 employees. The second stage delivered expanded competency management, planning and accounting for employee appraisals MBO, training management, personnel cost planning and employment and labor cost planning. The employee portal was expanded to enable employee management self service processes, which reduced manual paperwork. Gavdi Polska contributed proprietary components including Document Generator to standardize HR and payroll document generation, and eDeklaracje to handle electronic tax returns. A major challenge addressed in the project was full integration of SAP HCM with the existing finance and controlling systems, resulting in HR and payroll processes running within one electronic environment. Operational coverage included HR, payroll and line managers across the organization, enabling managers to administer employees more effectively. SID and Gavdi Polska delivered the implementation and were selected through PKP Energetyka purchasing procedures based on documented consultant experience. The implementation approach split the work into staged releases to manage a large volume of configuration and rollout in a compressed timeframe. A subsequent service agreement engaged the SID Application Support Center and Gavdi for ongoing SAP HCM maintenance. As a result, PKP Energetyka centralized and unified HR processes, improved administrative efficiency and limited paper circulation of documents. The system consolidation enabled electronic handling of HR procedures and reduced time previously spent on generating and approving paper documents.
