In 2015 PwC Germany implemented SAP Concur Expense as its Expense Management solution across its national network. The initiative addressed the high frequency of on-site consulting work where employees travel regularly and required rapid, mobile receipt capture to reduce manual paper handling and speed claim submission.
SAP Concur Expense was configured as an app-based, paperless expense workflow, enabling consultants to photograph receipts and create claims on the go. Functional capabilities implemented included mobile receipt capture, automated expense itemization, enforcement of country-specific travel policy rules within the application, and streamlined reimbursement processing to reduce manual handling.
The deployment followed a global instance architecture, with Germany chosen as the first national rollout and leveraging process setups already established in 18 PwC Middle East countries. The SAP Concur Expense instance was embedded into SAP S/4HANA to align expense postings with finance systems, and the rollout design supported both conversion of local starting situations to the global instance and onboarding of additional PwC Europe countries.
Governance focused on modeling country-specific travel expense guidelines in the central Concur configuration to enable compliant submissions across the network, using documented use cases to drive global consolidation and a phased changeover. The implementation timing intentionally leveraged a temporary five to ten percent decline in travel activity to control and accelerate the consolidation, and stated operational benefits included mobile capture, paperless processing, faster reimbursement, and improved compliance.
