The implementation integrated Capital One Lockbox deposit and remittance feeds with the companys AR posting system TVI, enabling applied payment records and reconciled batches to flow into the general AR ledger. Operational coverage explicitly included deposit posting, reconciliation of AR batches, short or overpaid invoice notifications to collections, and ongoing synchronization between lockbox image stores and TVI posting processes. Governance and process changes formalized responsibilities for roles such as Cash Application Specialist and AR receptionist, who process and apply ACH, lockbox and local deposits, reconcile AR batches, print sort scan and distribute invoices, and communicate with customers on missing remittance advice. Daily operational procedures and exception workflows were established to route discrepancies to collections and to maintain a consistent scan and imaging cadence for incoming remittance documentation.

Governance and process detail rested with administrative customer service teams who owned payroll, billing, and document management workflows, while clerical staff executed payroll runs and maintained scanned records. During this period staff activity produced measurable operational outcomes, including documented savings from disputing incorrect per diem and chassis rental charges.
