In 2012 Robidus implemented Exact Synergy as its Document Management application to centralize contract, timesheet and billing documentation for a 400 employee professional services firm in the Netherlands. The deployment targeted optimal scheduling of consultants on projects, the preparation of reports on work in progress, turnover and lead times, and the preparation of invoicing for the components HRControl, Pension and ZW-ERD. Administrative processing of new agreements and ongoing administrative support for consultants were executed inside Exact Synergy.
Configuration emphasis was placed on project-linked document repositories, metadata driven contract records and workflow automation for agreement approvals and invoice preparation. Exact Synergy was used to capture and version agreements, associate timesheet evidence with project records, and drive reporting workflows that surface WIP, turnover and lead time metrics. Standard Document Management capabilities such as document indexing, version control and role based access control were applied to enforce consistency across consultant and administrative processes.
Operational coverage included consulting teams, project managers and administrative staff responsible for invoicing and contract administration within the Netherlands. Invoice preparation activity for HRControl, Pension and ZW-ERD components was handled inside Exact Synergy as a coordinated administrative workflow, with structured documents and approval routes supporting billing cycles. The system supported regular contact with consultants, enabling monitoring of whether work and contract hours were completed within set deadlines.
Governance centered on administratively enforced workflows in Exact Synergy for new agreement intake, time confirmation and invoice generation, with role based permissions for consultants and back office staff. Reporting on work in progress, turnover and lead times was instrumented through Exact Synergy document workflows to provide consistent operational records for finance and project management functions.
