Integrations and file import workflows were a core element of the operational design, with daily Shipping Reports imported into Navision for posting and discrepancy correction. Cash application processes integrated Lockbox reporting from Wells Fargo and imported EBill Express and ACH payment files into Microsoft Dynamics NAV to post payments and reconcile customer accounts, and the team handled download, import, posting and reconciliation of those payment files.
Operational governance centered on controls and reconciliation routines, including daily running of the Aging Report and distribution of copies to brokers, review and comparison of Sales Integrity Reports to validate salesperson and broker codes, and customer outreach for over or short payments and past due balances via email or telephone. The role also included processing customer request forms such as ACH applications, W-9 and 1099 tax forms, embedding those processes into the finance team workflows and the broader order-to-cash lifecycle at Rombauer Vineyards.
