The implementation was executed as part of a broader Workday ERP platform rollout and explicitly integrated with OnBase for accounts payable document imaging and with Kronos HR and Payroll for payroll conversion workstreams. In 2014, Saint Luke's Health System implemented Epic ASAP to standardize Emergency Department clinical workflows and charting across its system. The deployment focused on the Epic ASAP Emergency Department Module, extending build and support to nine emergency departments, seven Saint Luke's community hospitals, and the Phase 4 rollouts for three critical access hospitals.
Configuration work included ED-specific builds, unit charge entry logic to capture ambulance charges, and customization of the After Visit Summary. The implementation also leveraged Epic Security and Data Courier capabilities, supported unit validations and integrated testing, and migrated records between build, test, train and production environments to maintain environment parity.
Operational coverage spanned ED physicians, nurses, and technical staff, with training deliverables created and published for those roles, and targeted Super User training delivered during Phase 4 go-lives. The project team conducted Phase 4 discovery visits and workflow walkthroughs to align chart access across clinician roles and to instrument workflows that met critical access hospital constraints.
Governance and rollout processes were formalized through project leadership of subsequent Epic upgrades in 2015 and 2017, 24/7 Command Center support during go-lives, weekly Care Concern Bulletins driving workarounds and training updates, and configuration of Business Continuity Access workstations for downtime scenarios.
