Workday Legacy Workday Financial Management ERP Financial ERP n/a 2018 2018
In 2018, Saint Luke's Health System implemented Workday Financial Management as its ERP Financial application, embedding the Workday Financial Management suite into centralized finance operations. The deployment targeted central accounts payable, central payroll processing, and central treasury, supporting 24 legal entities across the health system and a finance organization that processes roughly 21,000 invoices and 3,000 patient refunds monthly, and payroll for 13,000 employees in 12 states. The configuration focused on core financial modules typical for ERP Financial deployments, including accounts payable automation, payroll interfaces, cash and treasury management, vendor payment orchestration, and expense reimbursement automation. Workday Financial Management was used to shift paper-based expense reimbursements to electronic workflows and to instrument AP processing for electronic approvals and invoice imaging. The implementation was executed as part of a broader Workday ERP platform rollout and explicitly integrated with OnBase for accounts payable document imaging and with Kronos HR and Payroll for payroll conversion workstreams. These integrations enabled centralized document storage and workflow approvals through OnBase, while payroll conversion coordination with Kronos maintained continuity of HR and payroll operations during the finance platform adoption. Operational governance emphasized centralization and process rationalization, with finance leadership consolidating acquisitions into centralized AP, payroll, and treasury processes and developing a project plan to move cash reconciliation into treasury services. Process redesign included routing patient refunds to an automated prepaid card program, expanding purchasing card and ACH vendor payment programs, and instituting electronic approval workflows to reduce manual touchpoints. Explicit operational outcomes recorded during and after the Workday Financial Management implementation include processing volumes and cost metrics, with accounts payable handling 21,000 invoices and 3,000 patient refunds monthly equating to $1B annually, payroll for 13,000 employees, a reported accounts payable invoice processing cost of $3.90, and a reduction of paper checks by approximately 70 percent.

In 2018, Saint Luke's Health System deployed Workday Absence Management as its Absence and Leave Management solution, replacing UKG Workforce Central Absence Manager ex Kronos Workforce Absence Manager. The Workday Absence Management deployment was configured to integrate with Core HCM, Benefits, Time and Absence, and payroll reporting workflows to support bi weekly and semi monthly payroll processing within the payroll department and HRIS operations. Implementation responsibilities concentrated on Payroll and Reports configuration, with cross functional coverage of Core HCM, Benefits, Leave, Reports, and Time and Absence modules. Project activities included creation and editing of customized reports and audits during implementation, parallel testing and production validation, and analysis of data flows that impact payroll to protect data integrity for downstream procedures from Benefits, Time and Absence, Leaves and HRIS. Standard operating procedures were developed to maximize efficiency in payroll processing during the conversion and to establish governance for ongoing absence and leave workflow management.

Epic Systems Legacy Epic ASAP Clinical Trial Management ERP Services and Operations n/a 2014 2014
In 2014, Saint Luke's Health System implemented Epic ASAP to standardize Emergency Department clinical workflows and charting across its system. The deployment focused on the Epic ASAP Emergency Department Module, extending build and support to nine emergency departments, seven Saint Luke's community hospitals, and the Phase 4 rollouts for three critical access hospitals. Configuration work included ED-specific builds, unit charge entry logic to capture ambulance charges, and customization of the After Visit Summary. The implementation also leveraged Epic Security and Data Courier capabilities, supported unit validations and integrated testing, and migrated records between build, test, train and production environments to maintain environment parity. Operational coverage spanned ED physicians, nurses, and technical staff, with training deliverables created and published for those roles, and targeted Super User training delivered during Phase 4 go-lives. The project team conducted Phase 4 discovery visits and workflow walkthroughs to align chart access across clinician roles and to instrument workflows that met critical access hospital constraints. Governance and rollout processes were formalized through project leadership of subsequent Epic upgrades in 2015 and 2017, 24/7 Command Center support during go-lives, weekly Care Concern Bulletins driving workarounds and training updates, and configuration of Business Continuity Access workstations for downtime scenarios. Saint Luke's Health System Epic ASAP Clinical Trial Management alignment emphasized ED clinical operations, billing workflow review for professional billing completeness, and centralized support and testing discipline across the enterprise.
