PowerSchool SmartFind Express is configured to support multiple clocking methods including wall mounted clocks, web and PC clocking, mobile punch with GPS restrictions, badge and biometric options, capture of start end and break times, separate tracking for extra duty and multiple jobs, and real time punch records to support contract hour tracking and shortfall hours for non exempt employees. Integrations are implemented to meet district requirements for data exchange, the solution is set to import staff data daily and export sub assignment and employee leave data daily, and to produce export files compatible with the SBCSS Financial 2000 Payroll import process. Single sign on is enabled via Google or Azure, and calendar synchronization with Outlook or Gmail is supported, while substitute management integration and secure data export templates are used to route attendance data into Payroll and Fiscal Services workflows. Operational governance was restructured to move site level paper sign in to electronic clock terminals and web based workflows, with role based approvals and audit trails for timecard acknowledgements and digital signatures by employee and approver. The rollout plan includes administrator and end user training, scheduled data imports and exports, terminal level clocking restrictions to specified PCs or devices, and support for periodic upgrades, backup and redundancy requirements, and active system notifications as described in the district RFI. The district expects PowerSchool SmartFind Express Absence and Leave Management to improve accuracy and reduce employee attendance related payroll errors by automating hours calculations, leave balances and the export process to SBCSS payroll import. The RFI driven deployment is documented to inform a formal RFP and scope of work, and the implementation emphasizes compliance with district reporting, security, and daily data exchange requirements.
