The implementation supported routine administrative processes such as calendar and conference room coordination, expense submission for executive staff, and maintenance of spreadsheets and reports tied to travel and expense activity.
Operational integration was explicit between SAP Concur Expense and the companys finance reporting, with monthly expense reporting for executive staff maintained through Oracle, indicating a handoff of consolidated reporting to Oracle while SAP Concur Expense handled transactional travel and expense records. The rollout focused on administrative and executive user groups within IT, aligning travel and expense transaction capture in SAP Concur Expense with downstream financial reporting in Oracle.
Governance centered on centralized administrative ownership inside the Information Technology department, where administrators used SAP Concur Expense alongside existing administrative processes for procurement of supplies, onboarding coordination, help desk ticketing support, meeting minutes, and employee engagement activities. The implementation also embedded workflows for background check review, where background check report content is evaluated against ServiceLink background check procedures for discrepancies and tracked until the candidate is cleared for employment.
Operational integration extended to the Oracle HRIS system, with completed background check results and clearance status required to be updated in Oracle HRIS as part of the inbound onboarding flow. The program established the HR team and talent acquisition groups as primary business functions responsible for processing all written and verbal employment verification requests, and designated a point of contact for follow-ups and inquiries to maintain case resolution and status tracking.
Governance and audit procedures were formalized around the Equifax I-9 Anywhere deployment, including a weekly background check audit to identify hires with pending checks at time of hire, weekly I-9 audits for timeliness, and ongoing poster maintenance. Monthly and annual audits of state and federal posters and display boards were incorporated to ensure physical and electronic locations remained current and compliant.
