In 2017, Swap.com deployed UKG Pro Workforce Analytics (ex UltiPro Workforce Analytics) to improve recruitment and retention and to automate core HR workflows. Swap.com is an online consignment retailer with about 120 employees and it implemented the Workforce Analytics solution after identifying that its existing Paychex suite no longer met growing hiring, onboarding, and benefits administration needs.
The deployment started with core HR, payroll, and benefits modules and then expanded to recruiting and onboarding functionality, going live in July 2017. UKG Pro Workforce Analytics provided reporting and analytics capabilities used to instrument applicant sourcing, track turnover drivers, and automate benefits administration, enabling the HR team to pull applicant data from job board submissions rather than rekeying candidate information.
Operational ownership remained with the internal HR organization, led by the vice-president of HR and reviewed by the chief executive, with configuration work covering the company headquarters in Bolingbrook and supporting offices. Swap.com worked directly with Ultimate Software to develop a capitalized benefits interface to remove manual benefits entry, and the implementation reduced the number of job boards used from eight to three by surfacing higher quality sourcing channels through analytics.
Outcomes reported by Swap.com included measurable reductions in manual work and turnover, with HR productivity gains of roughly 15 to 25 hours per week attributed to automation in hiring, onboarding, and benefits administration. UKG Pro Workforce Analytics was credited with lowering turnover from over 150 percent to approximately 100 percent, eliminating thousands of dollars in benefits entry errors, and delivering a documented ROI of 355 percent, a payback period of 3.6 months, and an average annual benefit of $631,849.
