Operational coverage concentrated on Fox Chase employees, with conversion and onboarding executed through parallel testing and verification of employee data sets. Governance and process work included creating and delivering initial and ongoing user training tied to policy, producing training materials, and maintaining the operational processes to update accruals in Peoplesoft HCM and Kronos via the Absence Management functionality.

The deployment targeted two Emergency Departments and a Behavioral Health Department, and was organized around clinical education, operational adoption, and workflow alignment for providers, nurses, nurse technicians, and unit secretaries. The implementation emphasized configuration of a dedicated Epic ASAP training environment, creation of representative patients for simulation, and the incorporation of site specific policies and procedures into training materials. Training artifacts included workbooks, quick start guides, tip sheets, supplemental folders, barcodes, and login information, and a three phase training calendar was used to sequence classroom instruction, practice sessions, and shadow charting for a Trauma Pilot Program. Operational coordination involved close collaboration with ED leadership, Provider Champions, and technical build teams to validate lesson plans and clinical workflows for each location. The program also coordinated with other applications and departments to assure a seamless install for end users, and maintained the training environment in MST to mirror the production build where appropriate. Governance and rollout included management of seven credentialed trainers, trainer evaluation and coaching, and production of weekly reports for team leads and directors that illustrated qualitative and quantitative training outcomes. Epic ASAP served as the system focal point for clinical education and go live readiness, with detailed training governance and workflow verification embedded into the program.
