In 2021, The Elms Hotel & Spa migrated to Rezcontrol PMS, a cloud-based Hotel Property Management application, completing the cutover on 7 December 2021. The Elms is a small luxury country manor hotel and spa in Worcestershire, and the implementation followed acquisition and operational review by Managing Director Mark Bevan who had prior experience with Avondata’s server based PMS Hotel Executive.
Rezcontrol PMS was configured to support core property management workflows including mobile check in on iPad devices, automated full prepayment processing 24 hours before arrival, and operational reporting and analytics. The implementation exposed reservation and upsell controls to frontline staff and managers, and provided exportable reporting for forecasting and performance reporting, consistent with standard Hotel Property Management functional terminology.
The deployment used cloud hosting and API orchestration to integrate Rezcontrol PMS with third party services explicitly cited by the customer, including Stripe for online payments, Rezdiary for restaurant and spa bookings, and an ecommerce platform called OneJourney which pushes live availability into the property management stack. Avondata executed the data transfer and cleansing from the previous Hotel Executive environment, removing duplicate guest records and preparing the dataset for the cloud implementation.
Rollout and governance emphasized phased onboarding with bite size online training modules that must be completed to receive system access, ensuring staff competency before live operation. Technical support workflows were established for ticketing and vendor response, with the customer reporting rapid resolution of a phone system integration within three hours and overall almost zero downtime, which sustained front desk, spa, and restaurant operations during the transition.
The Elms reported explicit business outcomes tied to the integrations and new workflows, noting a 60% uplift in revenue from upsells and a 100% increase in extras as a direct result of the integrated booking and ecommerce capabilities. Management cited reduced manual administration, faster guest facing processes, and improved ability to extract up to date statistics from Rezcontrol PMS for operational decision making.
